These terms describe how Team Pulse may be used. Team Pulse is provided by Snowdrop AB.

What Team Pulse is

Team Pulse is a tool for recurring team reflection.

It helps teams see change over time, understand what affects work, and find small improvements to try together.

Team Pulse is built around three ideas:

  • the score detects change
  • the comments explain the change
  • the team owns the improvement

What Team Pulse is not

Team Pulse is not:

  • a tool for individual performance evaluation
  • an employee surveillance tool
  • a tool for manager-only analysis of individual people
  • an HR decision system for personnel cases
  • legal advice
  • medical advice
  • a system for automated decisions about people

Accounts and sign-in

You are responsible for using your own email address and protecting access to your email and account.

Team Pulse uses Supabase Auth for sign-in. Magic links are the default. Password is optional for users who want to sign in with a password manager.

You must not:

  • share sign-in links
  • share passwords
  • try to sign in as someone else
  • try to access a team where you are not a member
  • bypass access controls

Teams and Team Admins

Team Admins can create teams, invite members, manage roles, change settings, send manual reminders, and archive teams.

Team Admins are responsible for:

  • inviting only people who should participate in the team
  • keeping the team membership list up to date
  • choosing a reasonable reflection cadence
  • choosing a reasonable minimum number of responses before insights are shown
  • informing the team about how Team Pulse should be used
  • not trying to bypass the product's privacy protections

Team administration is a practical role. It does not give access to individual reflection answers.

Workplace use

If Team Pulse is used in an organization, the organization is responsible for using the service fairly, openly, and lawfully.

The organization is responsible for:

  • having a legal basis for the use
  • informing affected people
  • following local employment law
  • consulting employees, unions, worker representatives, or equivalent bodies where required
  • not using Team Pulse for surveillance or retaliation

Reflections and privacy

Team Pulse is pseudonymous, not fully anonymous.

We know that you answered. We do not store what you answered together with who you are.

You must not try to identify:

  • who wrote a specific answer
  • who gave a specific score
  • who has answered
  • who has not answered

Team Admins and team members should use team-level insights, not individual-person information.

Individual performance monitoring is prohibited

You must not use Team Pulse to:

  • evaluate individual performance
  • rank team members
  • create lists of people who have not answered
  • follow up with individual people based on guesses about their answers
  • make personnel decisions
  • create manager-only monitoring
  • combine Team Pulse with other data to try to identify respondents

Sensitive data and acceptable content

Do not write sensitive personal data in free-text answers.

Avoid names and information about health, union membership, political opinions, religion, sexual orientation, ethnic origin, or other details about individual people.

You must not enter content that is:

  • unlawful
  • threatening
  • harassing
  • discriminatory
  • abusive
  • intended to harm someone
  • clearly irrelevant to team reflection

Team Pulse is built for patterns and situations, not personnel cases.

Reminders

Team Pulse may send reflection reminders.

Reminders may be sent manually by a Team Admin or automatically if scheduled reminders are enabled in the environment.

Reminder logic may use system information about who has already answered, but that information must not be used to show Team Admins or team members who has or has not answered.

Reminders are service or transactional messages, not marketing.

Sign-in emails, password emails, invitations, security messages, and necessary operational messages cannot be opted out of because they are needed for the service.

Users can disable reflection reminder emails per team from the team page in the app. This preference applies only to reflection reminders. It does not affect magic sign-in links, invitation emails, security or authentication emails, or other service-critical operational messages, which are needed for the service and cannot be opted out of.

Disabling reflection reminders does not remove team membership and does not prevent the user from submitting reflections. Team Admins must not see which individual users have disabled reflection reminders. Team Admins may still configure team-level scheduled reminder settings where that capability is available.

AI features

Team Pulse may include team-level AI insights.

AI insights are conversation support. They are not decisions and should not be treated as objective truth.

You are responsible for reviewing AI-generated insights before acting on them.

AI features must not be used for:

  • individual scoring
  • workplace emotion recognition
  • respondent identification
  • manager-only monitoring
  • automated decisions about people
  • HR cases about individual people

AI insights may be wrong, incomplete, or misunderstand context. The team should use them as conversation material, not as an answer key.

Speech-to-text

Speech-to-text is optional.

If you use speech-to-text, you are responsible for reading and editing the text before submitting the reflection.

Team Pulse does not store audio as its own audio file, but audio may be processed by a transcription provider to create text.

Do not submit text that contains sensitive personal data or identifies individual people.

Accessibility, changes, and operations

Team Pulse is developed continuously. Features may change, improve, or be removed.

We try to keep the service available and usable, but we cannot guarantee that it will always be uninterrupted, error-free, or delay-free.

Contact us at support@snowdrop.se if you notice an accessibility issue or operational problem.

Limitation of responsibility

Team Pulse provides team-level material for reflection.

Snowdrop is not responsible for how organizations use Team Pulse insights in their own operations, except as required by applicable agreement and law.

Organizations and teams are responsible for reviewing, interpreting, and using insights fairly and lawfully.

Changes to these terms

We may update these terms as Team Pulse develops or as legal, technical, or operational conditions change.

For major changes, we will update the date and inform users in a reasonable way.
